Organizational Context and Purpose for the job:-
Under the supervision of the Country office Representative, the Senior Executive Associate is accountable for procedural communications and administrative support functions to enhance the smooth running of the supervisor’s day-to day activities (30%) Senior Executive Associates also provides budget monitoring support and other administrative support to the programme team in Oman Country Office (70%).
Key functions, accountabilities and related duties/tasks:-
- Arranges protocol matters, appointments and maintains supervisor’s calendar, places and screens telephone calls and answers queries with discretion.
- Prepares briefing materials, minutes of meetings including translations for supervisor for use on official correspondence tor trips, meetings or for follow ups.
- Administrative support of the front office and arranging meetings and key events
- Support admin and travel plans, exchanges of letters and takes appropriate follow-up action.
- Assists in the administrative process of government, NGOs and other partners requests. Maintain filling system in the front office
- Function of the petty cash for the office, and back stop for the Admin and procurement Assistant.
- Monitors and reports on office budget ensuring planning and allocation, with compliance with UNICEF rules and regulations, keeping supervisor informed and advised on actions for decision/follow up.
- Monitors allocation and expenditures trends; generates, prepares and shares with members of the management team the financial progress reports adapted from VISION and brings to the attention of the Representative, M and E Associate and Operations Officer any deviations of delays for corrective measures.
- Prepares and timely submits monthly Management Indicator reports to the meetings of management team, including analysis.
- Follows up on agreed action during presentation of management reports.
To qualify as an advocate for every child you will have…:-
- Completion of secondary education is required, supplemented by technical or university courses related to finance and budgeting.
- At least six years of professional experience in finance, accounting and budget.
- Experience in the usage of office software MS packages and advanced knowledge of spreadsheet and database packages, experience in handling of web-based management systems and ERP financial, preferably SAP. Experience of IPSAS and/or IFRS is required for external candidates.
- Fluency in English and Arabic is essential.
- Specific Technical Knowledge Required:
- Training and experience using MS Word, Excel, PowerPoint and other office applications.
- Organizational, planning and prioritizing skills and abilities.
- Ability to deal patiently and tactfully with visitors.
- High sense of confidentiality, initiative and good judgment.
- Ability to work effectively with people of different national and cultural background.
- Ability to work in a team environment to achieve common goals and to provide guidance to more junior support staff.
