IFRC Pacific has an exciting opportunity for a dynamic and passionate individual to join the team as Office Manager in the Shared Services team. Reporting to the Head of Delegation and the Head of HR & Administrative Services, the incumbent will be responsible for managing the administration team and office coordination of the IFRC Pacific Regional Office.
The Office Manager develops, manages, and delivers services, maximizing the quality and minimizing costs, to provide safe, effective, and efficient solutions to staff, consultants and guests. S/he is responsible for the business continuity of the services and solutions, including, developing resilience services, recovery arrangements and contingency plans. S/he is responsible for managing the administration team and assisting with day-to-day general administration duties and office coordination for the Head of Delegation as required. Manage travel, visa, housing, accommodation, staff transportation, cleaning and maintenance, translation and interpretation services and procurement of office supplies.
Manage and supervise direct team members to deliver services and provide timely solutions. Coach, mentor and support team members in capacity building, professional development and career management. Liaise with key external stakeholders and maintain relations, coordination and cooperation with all components of the Movement. Coordinate meetings, workshops, events and act as logistics and administration support for Team Management Meetings, Movement Meetings. Regional and staff meetings. Provide executive assistance duties to the Head of Delegation. Communicate risk policies, and processes for the organization, creating business continuity plans to limit risks and providing research, data and analytical support.

This role is ideal for you if you meet below requirements:

  • Bachelor’s degree or Diploma in international Relations. Management Business Administration or other related Degrees/studies.
  • At least 2-5 years’ experience in senior roles in areas such as Office Management, secretarial services, programme management, public relations and general administration.
  • Experience in protocol, customer relations and/or marketing.
  • Ability to establish effective working relations in multi-cultural and cross functional environments.
  • Ability to research, consolidate, analyze and conceptualize information.
  • Experience in planning and budgeting.
  • Excellent communication and presentation skills.
